QuickBooks Online will not accept your bank CSV

In short: QuickBooks Online reads a bank CSV with either 3 columns (Date, Description, Amount) or 4 columns (Date, Description, Credit, Debit). Extra columns, title rows, zero-only cells and the word "amount" in the Credit and Debit names are among the fixes Intuit lists. The converter below writes the 3-column or 4-column layout from any bank or payment app CSV.

Fix the file

Bank CSV to QuickBooks Online (CSV)

A CSV with a date column and an amount (or debit and credit) column

Your file stays on this device

It is read and converted by this page, inside your browser. Nothing from the file is uploaded, and the converter keeps working offline once the page has loaded.

One email when it ships. The address is used for nothing else. Details.

What you see

The upload stops at the mapping step, the columns do not line up with Date, Description and Amount, or the import brings in wrong or missing amounts.

Why it happens

Intuit's upload page says: "Each file needs either 3 (Date, Description, Amount) or 4 (Date, Description, Credit, and Debit) columns." Most exports have far more columns, a title or balance row above the table, or totals at the end.

The same page lists specific fixes for a file that will not upload: "Remove the word "amount" from Credit and Debit.", "Leave any cells in Amount, Credit, or Debit that only contain zero (0) blank.", and "Remove numbers from cells in the Description column." It also asks for the weekday to be removed from the Date column and for all dates to use one format.

How to fix it

  1. Drop your CSV into the converter above. A bank file is read by its header row; Venmo, Cash App, PayPal, Stripe, Etsy, Airbnb and Gumroad files are recognised by their own layout.
  2. Under To, keep QuickBooks Online (CSV) for the 3-column file, or pick the 4-column version if you prefer separate Credit and Debit columns.
  3. Pick the date format you will choose in QuickBooks, then download.
  4. In QuickBooks Online upload the file and map Date, Description and Amount (or Credit and Debit) to the columns of the same name.

What this does not fix

  • The converter writes the layout Intuit describes; it cannot see your QuickBooks account, so review the For review list before you accept anything.
  • Descriptions that are only a number get the word "Ref" in front, and characters outside a plain set (such as emoji, $, < and >) are left out, so they are not rejected.
  • A file with no date column, or no amount or debit and credit columns, cannot be converted; the converter says so instead of guessing.

Import the fixed file into QuickBooks Online

  1. Go to Transactions > Bank transactions > Link account (or Update) > Upload from file.
  2. Choose this CSV and the account to put it in.
  3. Map the columns: Date to Date, Description to Description, Amount to Amount (one column).
  4. Pick the date format MM/dd/yyyy (or the one you chose here) and confirm that the first row is a header.
  5. Review the transactions under For review.

Questions

What columns does QuickBooks Online need in a bank CSV?
Three columns (Date, Description, Amount) or four (Date, Description, Credit, Debit), per Intuit's upload page. In the 3-column file money out is negative; in the 4-column file the unused side is left blank.
Why does QuickBooks complain about zero amounts?
Intuit asks for cells in Amount, Credit or Debit that only contain zero to be left blank. The converter leaves the unused side blank in the 4-column file and drops rows whose amount is zero.
Can I keep my extra columns, such as a running balance?
Not in the upload file. QuickBooks Online maps only the 3 or 4 columns. If you need the balance, keep your original export; the converter can also write a .qbo file, which carries an ending balance.
Should I save the file again in Excel before uploading?
There is no need, and it can change dates and numbers. Upload the downloaded CSV as it is.
