1. Export the file from Etsy
- Best for your books: Shop Manager > Finances > Monthly statements > View all monthly statements.
- Pick the year and month and click Generate CSV; Etsy emails you when it is ready.
- Click Download Now in the email, then Download CSV.
- Sold Orders and Deposits CSVs: Shop Manager > Settings > Options > Download Data, choose the CSV type, month and year.
Why a raw Etsy export fails in QuickBooks Online
Imported raw, QuickBooks Online cannot read dates written as words or amounts shown as "--", deposits carry their amount only in the title text, and the many small fee rows land in a bank account that only ever received the deposits.
QuickBooks Online maps the first row as column names and expects every following row to be a transaction. Extra header lines, balance and total rows, currency symbols, and cells that contain only zero are common reasons an upload fails or imports wrong amounts.
What is unusual about the Etsy file
- The monthly statement has a byte-order mark, currency symbols in amounts ("-€0.19") and "--" for empty values.
- Dates are written out ("January 30, 2025" or "16 January, 2024" depending on your locale).
- Deposit rows have no amount in the amount columns; the amount is only in the title ("$120.00 sent to your bank account").
- Buyer-paid sales tax is included in the sale and removed again by a separate Tax row, because Etsy pays it to the state.
- Sold Orders has two-digit years (10/04/25) and no listing, transaction or ad fees.
- Etsy does not link deposits to the sales they pay out, so journal entries are grouped by month.
What QuickBooks Online requires
- Columns exactly Date, Description, Amount.
- Money in is positive, money out is negative; no currency symbols or thousands separators.
- One date format for the whole file.
- Up to 1,000 rows and 350 KB per upload (we split bigger files).

3. Import the converted file into QuickBooks Online
- Go to Transactions > Bank transactions > Link account (or Update) > Upload from file.
- Choose this CSV and the account to put it in.
- Map the columns: Date to Date, Description to Description, Amount to Amount (one column).
- Pick the date format MM/dd/yyyy (or the one you chose here) and confirm that the first row is a header.
- Review the transactions under For review.
Questions
- Is the sales tax in my Etsy statement my income?
- Where Etsy collects and pays sales tax to the state itself, the statement adds that tax to the sale and removes it again with a separate Tax row, so it nets to zero in the converted file. Check with your tax preparer how to treat any tax you collect yourself.
- Should I choose 3 columns or 4 columns?
- Both import the same transactions. The 3-column file has one signed Amount, negative for money out. The 4-column file splits money in (Credit) and money out (Debit) and leaves the unused side blank, which is what Intuit asks for. Use 3 columns unless your accountant prefers the other; switch "To" in the converter to get the 4-column file.
- Why does my Etsy deposit not match my sales?
- Etsy deducts listing fees, transaction fees, payment processing fees, shipping labels and ads from your balance before it deposits. The journal entry lists each kind of fee, so the difference between sales and deposits is accounted for.
- Why does QuickBooks reject my file as too large?
- Intuit documents a limit of 350 KB and 1,000 lines per manual upload in QuickBooks Online. When your converted file is bigger, the converter also gives you numbered parts that each fit; upload them one after another.
