Duplicate transactions after a bank file import

In short: Intuit says duplicates can appear when you import a file that overlaps your bank feed, or when the bank feed updates after a manual upload. Quicken says its CSV import does not check for existing transactions. The fix is to exclude the duplicates and import each period once; the converter gives every transaction a stable id, so the same row in two overlapping exports gets the same id.

Fix the file

Bank CSV to QuickBooks (.qbo Web Connect)

A CSV with a date column and an amount (or debit and credit) column

Your file stays on this device

It is read and converted by this page, inside your browser. Nothing from the file is uploaded, and the converter keeps working offline once the page has loaded.

One email when it ships. The address is used for nothing else. Details.

What you see

After uploading a file, the same payment appears twice in For review or in the register, often for the days where the file overlaps transactions that were already there.

Why it happens

Intuit's page on duplicate transactions in QuickBooks Online bank feeds says: "This can happen if you reconnect an account, import a file that overlaps with your bank feed," and "Duplicates may sometimes occur when transactions automatically update from your bank after you've manually uploaded them."

Quicken's CSV import page says: "Unlike Web Connect (.QFX) imports, CSV imports do not check for or match existing transactions." and "Reimporting the same file creates duplicates."

Downloading two exports with overlapping dates, or importing both a full file and its split parts, puts the same transactions in twice.

How to fix it

  1. In QuickBooks Online open the For review tab and exclude the duplicates. Intuit notes that excluded transactions can be brought back from the Excluded tab with Undo.
  2. For the next import, pick a date range that starts after the last transaction already in your books.
  3. Convert the export with the converter above. Each transaction id is built from its date, amount, description and platform id, so a row that appears in two overlapping exports gets the same id each time.
  4. Use one fee setting per account and keep it: separate fee lines and net-only lines get different ids.

What this does not fix

  • Intuit and Quicken do not document how they use transaction ids to skip repeats, so do not rely on the ids alone; avoid overlapping date ranges.
  • Within one file, exact repeats of the same platform transaction are dropped and the notes say how many; rows that only look alike are kept.
  • Transactions already added in QuickBooks have to be removed there. Intuit says deleted transactions cannot be restored, although the audit log keeps their details.

Import the fixed file into QuickBooks Online and QuickBooks Desktop

  1. QuickBooks Online: go to Transactions > Bank transactions, click Link account (or Update) > Upload from file.
  2. Choose this .qbo file, pick the QuickBooks account to put it in, and click Continue.
  3. QuickBooks Desktop: File > Utilities > Import > Web Connect Files, choose the file, then pick or create the account.
  4. Review the transactions under For review and add or match them.

Questions

How do I remove duplicate transactions in QuickBooks Online?
Intuit's steps: on the For review tab select the duplicates and choose Exclude. If one was already added, delete or void the extra one. Excluded transactions can be restored with Undo on the Excluded tab.
Does a .qfx file avoid duplicates in Quicken?
Quicken's CSV page contrasts its CSV import, which does not check for existing transactions, with Web Connect (.QFX) imports. Import each period once either way, and review the matches Quicken offers.
Will converting the same export twice give the same ids?
Yes, as long as the rows and the fee setting are the same. That is what makes overlapping exports produce matching ids.
