Walmart recon report to a QuickBooks journal entry

In short: Walmart's recon report is a CSV with one PaymentSummary row (the period, the currency and Total Payable, the payout) and one row per part of each order line: product price, shipping, commission, tax and tax withheld, plus adjustments such as shipping label charges. A payout journal entry records each payout as what it was: money received as gross sales, fees and refunds on their own lines, and only the amount that actually reached your bank on the bank line, balanced to the cent. Drop the file below. It is converted on your device and never uploaded.

Before you start: This page reads the Walmart Marketplace recon report as CSV. We built it from Walmart's report documentation, a public importer of the CSV, and part of one real report published in a public repository. We have not seen a complete real report, so the check that the rows add up to Total Payable is not yet confirmed on real data, and we have not imported the result into a real QuickBooks company. Check the first entry before importing more.

1. Export the file from Walmart Seller Center

  1. In Walmart Seller Center open Payments and find the payment period you want.
  2. Download the reconciliation (recon) report for that period as CSV.
  3. Upload that file here as downloaded, without opening and re-saving it in a spreadsheet.

Why a raw Walmart recon report export fails in QuickBooks Online (journal entry import)

Your bank receives one Walmart payout per period, after commission, shipping labels and refunds. Entering the payout as income understates sales and hides the fees. A journal entry per payout puts each kind of amount on its own line and exactly Total Payable on the bank line.

The usual fix is one summary journal entry per payout: product sales and shipping on the sales side, refunds against sales, Walmart commission and shipping labels as fees, sales tax charged and kept by Walmart on their own lines, and exactly Total Payable on the bank line. You then match the bank line against the Walmart deposit in your bank feed.

What is unusual about the Walmart recon report file

  • The first row after the header is a PaymentSummary row with the period dates, the currency and Total Payable (the payout); every other row is one part of an order line: Transaction Type (Sale, Refund, Adjustment), Amount Type (Product Price, Shipping, Commission on Product, Commission on Shipping, product and shipping tax and tax withheld, Fee/Reimbursement) and a signed Amount.
  • Every row is added up and compared with Total Payable. If they differ, you get a WARNING with the difference and the gap goes to the clearing account. We have not seen a complete real report, so the check itself is not yet confirmed on real data.
  • The report becomes named lines (product sales, shipping, refunds, Walmart commission, shipping labels, sales tax charged and kept by Walmart as marketplace facilitator) plus the payout, all dated on the PaymentSummary row's posted date.
  • Commission on a refund is positive (Walmart gives it back), so commission is read with its own sign, never forced negative.
  • Adjustment rows other than shipping label charges, and any Amount Type we have not seen, are kept on their own line and listed in a warning. One report and one payout per file; several PaymentSummary rows are refused. The JSON form of the report is refused by name: download the CSV.
  • Bank-style files (.qbo, .qfx, .ofx, QuickBooks Online CSV, Xero CSV) go into a separate Walmart clearing account, not your checking account: the last line moves the payout to your bank.

What QuickBooks Online (journal entry import) requires

  • Each entry shares one Journal No. and date, and its debits equal its credits.
  • Lines show product sales, shipping, refunds, Walmart commission, shipping labels, sales tax charged and kept by Walmart, and the payout that hit your bank.
  • Account names must match your chart of accounts exactly; subaccounts as Parent:Sub.
  • Up to 1,000 lines per file (we split bigger files without breaking an entry).

3. Import the converted file into QuickBooks Online (journal entry import)

  1. Make sure every account named in the file exists in your chart of accounts (or change the account names before downloading).
  2. In QuickBooks Online go to Settings (gear) > Import data > Journal entries.
  3. Upload this CSV and map Journal No., Journal Date, Account Name, Debits, Credits, Description and Name.
  4. Review and import. Each payout (or month) becomes one balanced entry.

Questions

Which accounts does the Walmart journal entry use?
Product sales, shipping and refunds go to the sales account, Walmart commission to the fees account, shipping labels to the fees account (or the shipping label account if you set one), tax Walmart did not keep to "Sales Tax / VAT Payable", and the payout to the bank account. Every name must exist in your QuickBooks chart of accounts.
Does the journal entry match my Walmart payout?
The converter adds every row and compares the result with Total Payable from the PaymentSummary row, and the bank line always uses Total Payable. If the rows add up to something else, a warning names the difference and the gap goes to the clearing account. We have not confirmed this check on a complete real report yet.
How is the sales tax Walmart collects booked?
Where Walmart collects and pays the tax as marketplace facilitator, the report has the tax and the same amount withheld, so the two lines net to zero. Tax Walmart did not keep is named in a warning and goes to "Sales Tax / VAT Payable", not to income.
