eBay transaction report to a QuickBooks journal entry

In short: eBay's transaction report is a CSV from Seller Hub with about ten lines of notes above the header, "--" in empty cells, one line per order, refund, fee, label, hold and payout, and a Payout ID on every line that has been paid out. A payout journal entry records each payout as what it was: money received as gross sales, fees and refunds on their own lines, and only the amount that actually reached your bank on the bank line, balanced to the cent. Drop the file below. It is converted on your device and never uploaded.

Before you start: This page reads the eBay Seller Hub transaction report (English, eBay.com or eBay.co.uk layout). We built it from eBay's help pages and checked it against a small number of real US and UK transaction reports found in public repositories. We have not imported the result into a real QuickBooks company. Check the first entry before importing a year of them.

1. Export the file from eBay Seller Hub

  1. In Seller Hub open the Payments tab and select Reports in the menu on the left.
  2. Select Transaction report in the download section, choose the transaction type (all types) and the start and end date, then select Create report.
  3. eBay emails you when the report is ready. Download the CSV and upload it here as it is, without opening and re-saving it in a spreadsheet.

Why a raw eBay transaction report export fails in QuickBooks Online (journal entry import)

Your bank receives eBay payouts that are sales minus final value fees, ad fees, labels, refunds and holds. Entering the payout as income understates sales and hides every fee. A journal entry per payout puts each kind of amount on its own line and exactly the payout on the bank line.

The usual fix is one summary journal entry per payout: item sales and shipping on the sales side, refunds and claims against sales, each kind of eBay fee, ad fees and shipping labels on their own lines, holds in a clearing account, money eBay charged to your bank as a transfer, and exactly the payout on the bank line. You then match the bank line against the eBay payout in your bank feed.

What is unusual about the eBay transaction report file

  • About ten lines of notes come before the column header, and empty cells are written "--". Dates look like May 20, 2026 (eBay.com) or 24 Sept 2026 (eBay.co.uk).
  • An order with several items has one order line with the Net and Gross amounts and one line per item with that item's fees; they are read together so nothing is counted twice.
  • Each payout becomes its named lines (item sales, shipping, refunds, final value fees and each other fee type, promoted listing fees, shipping labels, claims, holds) plus the payout, all dated on the payout date.
  • The lines of each payout are added up and compared with its Payout row. If they differ, you get a warning with the difference; it is never hidden.
  • Rows that are not part of a payout yet (no Payout ID) are left out and counted in a note. eBay collected tax is not in your payouts, so it is not booked.
  • Net amounts are in the payout currency, gross and fees in the sale currency: an order in another currency is booked at its converted Net only, on its own line. One currency per output.
  • The German eBay.de report and the payout report are refused by name: download the English transaction report instead.
  • Bank-style files (.qbo, .qfx, .ofx, QuickBooks Online CSV, Xero CSV) go into a separate eBay clearing account, not your checking account: each payout's last line moves the money to your bank.

What QuickBooks Online (journal entry import) requires

  • Each entry shares one Journal No. and date, and its debits equal its credits.
  • Lines show item sales, shipping, refunds and claims, each kind of eBay fee, ad fees, shipping labels, holds (clearing account), purchases paid with eBay funds, money eBay charged to your bank (a transfer, never income), and the payout that hit your bank.
  • Account names must match your chart of accounts exactly; subaccounts as Parent:Sub.
  • Up to 1,000 lines per file (we split bigger files without breaking an entry).

3. Import the converted file into QuickBooks Online (journal entry import)

  1. Make sure every account named in the file exists in your chart of accounts (or change the account names before downloading).
  2. In QuickBooks Online go to Settings (gear) > Import data > Journal entries.
  3. Upload this CSV and map Journal No., Journal Date, Account Name, Debits, Credits, Description and Name.
  4. Review and import. Each payout (or month) becomes one balanced entry.

Questions

Which accounts does the eBay journal entry use?
Item sales, shipping, refunds and claims go to the sales account, eBay fees to the fees account (or the advertising and shipping label accounts if you set them), holds to the clearing account (or the reserve account), tax you collected yourself to "Sales Tax / VAT Payable", purchases paid with eBay funds to the payments sent account, and the payout to the bank account. Money eBay charged to your bank is a transfer. Every name must exist in your QuickBooks chart of accounts.
Does each journal entry match my eBay payout?
Yes, when the report covers all of the payout. The converter adds the lines that carry each Payout ID and compares them with that payout's own Payout row. The bank line uses eBay's payout amount; if the lines add up to something else, a warning names the difference and the gap goes to the clearing account.
What happens to sales that have not been paid out yet?
Lines without a Payout ID (on hold or still processing) are left out and counted in a note. Download a later report and they come in with their payout.
