eBay transaction report converter

eBay's transaction report is a CSV from Seller Hub with about ten lines of notes above the header, "--" in empty cells, one line per order, refund, fee, label, hold and payout, and a Payout ID on every line that has been paid out.

What is in an eBay transaction report?

Each line has a Type (Order, Refund, Shipping label, Other fee, Claim, Hold, Charge, Payout), a Net amount in your payout currency, a Gross amount and fee columns in the sale currency, and the Payout ID of the payout that paid it. An order with several items has one order line with Net and Gross and one line per item with that item's fees.

The converter groups the lines by payout and adds them up. Each payout's total is compared with its own Payout row; if they differ (usually because the report starts after some of the payout's sales), you see a warning with the difference, and the bank line still uses eBay's payout amount.

Lines are grouped into named lines: item sales, shipping charged, refunds, final value fees, regulatory operating fee, performance fees, international fee, deposit processing fee, promoted listing and ad fees, store subscription, other eBay fees, shipping labels, claims and payment disputes, holds placed and released, purchases paid with eBay funds, and money eBay charged to your bank or card.

What is not handled: lines with no Payout ID yet (funds on hold or still processing) are left out and counted in a note; they come in with their payout in a later report. eBay collected tax never reaches you, so it is not booked. An order in another currency is booked at its converted Net only, without its fees split out. Types we have not seen in a real file (for example Adjustment, Transfer, Reserve) are kept on their own line and listed in a warning. The German eBay.de report and the payout report are refused. We have not imported the converted files into a real QuickBooks or Xero account yet.

Every line is dated on its payout date, so each entry matches the deposit in your bank feed. If you keep books on an accrual basis, a payout early in a month can hold sales from the month before.

How to export from eBay Seller Hub

  1. In Seller Hub open the Payments tab and select Reports in the menu on the left.
  2. Select Transaction report in the download section, choose the transaction type (all types) and the start and end date, then select Create report.
  3. eBay emails you when the report is ready. Download the CSV and upload it here as it is, without opening and re-saving it in a spreadsheet.

What to know about eBay transaction report files

  • About ten lines of notes come before the column header, and empty cells are written "--". Dates look like May 20, 2026 (eBay.com) or 24 Sept 2026 (eBay.co.uk).
  • An order with several items has one order line with the Net and Gross amounts and one line per item with that item's fees; they are read together so nothing is counted twice.
  • Each payout becomes its named lines (item sales, shipping, refunds, final value fees and each other fee type, promoted listing fees, shipping labels, claims, holds) plus the payout, all dated on the payout date.
  • The lines of each payout are added up and compared with its Payout row. If they differ, you get a warning with the difference; it is never hidden.
  • Rows that are not part of a payout yet (no Payout ID) are left out and counted in a note. eBay collected tax is not in your payouts, so it is not booked.
  • Net amounts are in the payout currency, gross and fees in the sale currency: an order in another currency is booked at its converted Net only, on its own line. One currency per output.
  • The German eBay.de report and the payout report are refused by name: download the English transaction report instead.
  • Bank-style files (.qbo, .qfx, .ofx, QuickBooks Online CSV, Xero CSV) go into a separate eBay clearing account, not your checking account: each payout's last line moves the money to your bank.

Questions

Does each journal entry match my eBay payout?
Yes, when the report covers all of the payout. The converter adds the lines that carry each Payout ID and compares them with that payout's own Payout row. The bank line uses eBay's payout amount; if the lines add up to something else, a warning names the difference and the gap goes to the clearing account.
What happens to sales that have not been paid out yet?
Lines without a Payout ID (on hold or still processing) are left out and counted in a note. Download a later report and they come in with their payout.
Is the sales tax eBay collects my income?
No. eBay collected tax is listed in the report but is not in the Net or Gross amounts and never reaches your payouts, so it is not booked. Sales tax you collected yourself is moved to "Sales Tax / VAT Payable" when the report shows it inside the sale amount.
Can I put ad fees and holds in their own accounts?
Yes. Each fee type has its own line. By default fees go to "Bank Charges & Fees" and holds to the clearing account; set the advertising and reserve account names to the ones in your chart of accounts.
