Your Airbnb payout does not match your reservations

In short: An Airbnb payout combines one or more reservations, less the host service fee and any adjustments, so it rarely equals a booking total. The earnings CSV lists earnings, host service fees, cleaning fees, gross earnings and taxes withheld. The converter writes one QuickBooks Online journal entry per payout that nets to the deposit.

Your file stays on this device

It is read and converted by this page, inside your browser. Nothing from the file is uploaded, and the converter keeps working offline once the page has loaded.

What you see

The deposit from Airbnb in your bank is a different amount from the reservations you expected, and income looks doubled when you import the earnings CSV as bank lines.

Why it happens

Airbnb's help page on earnings says the exported CSV includes earnings, host service fees, cleaning fees, gross earnings and taxes withheld.

In the export each payout row is followed by the reservations and adjustments it pays. Importing every row as a bank line counts the payout and its reservations both.

How to fix it

  1. On Airbnb (desktop): Today, Menu, Earnings, choose Paid, filter the dates and listings, and click Export CSV.
  2. Drop the file into the converter above. It is recognised as an Airbnb earnings CSV.
  3. Set the account names to your chart of accounts and download.
  4. Import it in QuickBooks Online under Import data, Journal entries, then match each bank line to the payout in your bank feed.

What this does not fix

  • Use the Paid export: upcoming earnings have not reached your bank yet.
  • Occupancy taxes Airbnb collects and pays for you are not counted as your payout; taxes you remit yourself are a question for your tax preparer.
  • Every account named in the file must already exist in QuickBooks.

Import the fixed file into QuickBooks Online (journal entry import)

  1. Make sure every account named in the file exists in your chart of accounts (or change the account names before downloading).
  2. In QuickBooks Online go to Settings (gear) > Import data > Journal entries.
  3. Upload this CSV and map Journal No., Journal Date, Account Name, Debits, Credits, Description and Name.
  4. Review and import. Each payout (or month) becomes one balanced entry.

Questions

Should I import payouts or reservations?
Match the bank with payouts, and record income from the reservations inside them. The journal entry does both: one entry per payout, with reservation income and fees as separate lines.
Are occupancy taxes in the Airbnb export my income?
Taxes that Airbnb collects and pays for you appear in the export without reaching you, so the converter does not count them in your payout.
Does each journal entry balance?
Yes. Debits and credits of every entry are equal to the cent, and the bank line is the payout amount.
